This Privacy Policy describes how ReflectivAI (“ReflectivAI,” “we,” “us,” or “our”) collects, uses, discloses, and protects personal information when you visit our website, request a demo, communicate with us, or use the ReflectivAI platform (collectively, the “Services”). We build for data minimization: Signal Intelligence™ analyzes observable interaction behavior in practice and coaching settings to support skill development — it is not used to diagnose, profile, or make consequential decisions about individuals.
For most personal information processed in the platform on behalf of a customer organization, that organization is the “controller” (or “business”) and ReflectivAI acts as a “processor” (or “service provider”).
Where this policy and a customer agreement (including a Data Processing Addendum) conflict for that data, the customer agreement governs.
Scope and your relationship with us

- Platform users — individuals who use the platform under their organization’s subscription.

- Comply with legal obligations and enforce our terms and agreements.
How we share and disclose information
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
- Service providers / sub-processors — who help us operate (e.g., hosting, analytics, email), under written confidentiality and data-protection obligations.
- Legal and safety — reasons — to comply with law, respond to lawful requests, or protect rights, property, and safety.

AI and automated processing
ReflectivAI uses machine learning to generate coaching feedback and development signals from practice interactions, and our website assistant (“Alora”) is an AI-powered chat experience — you are interacting with automated technology, not a human, when you use it. We do not use these systems to make decisions that produce legal or similarly significant effects about you without meaningful human involvement. We design our models to focus on observable, job-relevant behavior rather than profiling individuals.
Data security
We maintain administrative, technical, and organizational safeguards designed to protect personal information, including encryption in transit and at rest, role-based access controls, and least-privilege practices. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
